Privacy Policy
Last updated October 18, 2026
This Privacy Policy explains how Forward Deployed Hiring (“Forward Deployed Hiring”, “we”, “us” or “our”) handles personal information collected through forwarddeployedhiring.com (the “Site”) and in the course of our recruiting work. We help companies hire Forward Deployed Engineers (FDEs), so the information we hold is mostly professional: who you are, where you work, and what kind of role you are hiring for or looking for.
We do not sell personal information, and we only share a candidate’s details with an employer after the candidate has agreed.
Who This Policy Covers
This policy applies to:
- Employers (“Clients”): people who contact us about hiring, or who work with us on a search.
- Candidates: people who apply to our network or whom we approach about FDE roles.
- Resource users: people who sign up to access our free guides, templates and tools.
- Visitors: anyone browsing the Site.
It does not cover how Clients handle candidate information after they receive it. Once a Client has a candidate’s details, the Client’s own privacy practices apply. It also does not cover third-party websites we link to.
Information We Collect
Information you give us
What we collect depends on the form you fill in or how you contact us.
If you are hiring (the Start Hiring form):
- your name and work email
- your company name and company stage
- details about the role, such as which role, how many hires, and whether it is on-site, hybrid or remote
- anything else you choose to tell us in the notes field
If you are a candidate (the Apply form):
- your name and email address
- your LinkedIn URL
- your current role
- notes about your experience, such as a deployment you are proud of, and what you want next
If you access a free resource:
- your name, work email and company
- which resource you asked for
Other contact: if you email us, book a call, or speak with us during a search, we keep the content of those conversations. For candidates, this can include your resume, work history, skills, location, work preferences, compensation expectations and our notes from the technical screen and customer role-play. For Clients, it can include details about your team, hiring process and open roles.
Please do not send us sensitive information we have not asked for, such as health details, government ID numbers, or information about race, religion or immigration status.
Information we collect automatically
When you visit the Site, some information is collected automatically through cookies and similar technologies, including:
- your IP address and approximate location derived from it
- browser type, device type and operating system
- pages you view, how you arrived at the Site, and when and how long you visit
- whether you have submitted a form, so that your visits can be linked to the details you gave us
See the Cookies and Similar Technologies section below for details.
Information from other sources
For candidates, we may also collect professional information that is publicly available, such as your LinkedIn profile, GitHub, personal website or published work, and information from people who refer you to us. For Clients, we may look up publicly available company information.
How We Use Information
We use personal information to:
- Provide our recruiting services: match candidates with roles, run our vetting process, prepare shortlists, schedule conversations and keep both sides updated.
- Respond to you: reply to form submissions and emails, and set up calls.
- Deliver free resources: give you access to the guides and tools you asked for and email you a copy.
- Stay in touch: send occasional emails about FDE hiring, new resources or relevant roles. You can unsubscribe at any time using the link in the email or by writing to us.
- Run and improve the Site: understand which pages and resources are useful, fix problems and plan new content.
- Keep things secure: prevent spam, fraud and misuse of the Site.
- Meet legal obligations: comply with the law, respond to lawful requests, and protect our rights and the rights of others.
We do not use personal information for automated decisions about whether a candidate is put forward. Those decisions are made by people.
How We Share Information
With Clients, only with candidate consent
If you are a candidate, we will only share your resume, profile, vetting notes or other identifying details with a specific Client after you have agreed to be considered for that Client’s role. We do not post candidate profiles publicly or circulate them to employers without permission.
If you are a Client, we may share your company name, the role and basic details about your hiring process with candidates so they can decide whether they are interested.
With service providers
We use a small number of trusted companies to run our business. They can only use personal information to provide their services to us:
- HubSpot: our CRM. HubSpot captures Site form submissions, stores contact records, sends our emails, and sets cookies that track Site visits.
- Vercel: hosts the Site and, like any web host, processes technical data such as IP addresses in server logs to deliver pages and keep the Site secure.
- Google Fonts: serves the fonts used on the Site. When your browser loads a font, Google receives your IP address and basic browser information.
- Email, calendar and scheduling tools we use to talk with you and book calls.
For legal reasons and business changes
We may disclose information if the law requires it, to respond to valid legal process, or to protect the safety, rights or property of Forward Deployed Hiring, our users or others. If our business is sold, merged or reorganized, personal information may transfer to the new owner, who must continue to protect it in line with this policy.
We do not sell your information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use advertising cookies on the Site.
Cookies and Similar Technologies
Cookies are small files a website stores in your browser. We use:
- HubSpot tracking cookies (such as
hubspotutk,__hstc,__hsscand__hssrc). These recognize returning visitors, count sessions, and connect your visits to a contact record once you submit a form. They help us understand how people use the Site and follow up on inquiries. - Browser storage for free resources. When you sign up for a resource, we save a small note in your browser’s local storage so you do not have to fill in the form again for our other resources. It contains no personal details and stays on your device.
You can block or delete cookies through your browser settings, and most browsers let you clear local storage too. The Site will still work if you do, but you may need to fill in the resource form again, and we will not be able to link your visits to your inquiry.
How Long We Keep Information
We keep personal information only for as long as we need it for the purposes in this policy:
- Clients and prospective Clients: for as long as we have a working relationship, and afterwards for as long as needed to keep business records and meet legal obligations.
- Candidates: while you are part of our network, so we can tell you about roles that fit. You can ask us to remove you at any time.
- Resource sign-ups: until you unsubscribe or ask us to delete your details, unless we have another relationship with you.
- Technical and analytics data: for the periods set by our service providers’ standard settings.
We review our records from time to time and delete or anonymize information we no longer need. We may keep some information longer where the law requires it or to resolve disputes.
How We Protect Information
We use reasonable technical and organizational safeguards to protect personal information, including encrypted connections (HTTPS) on the Site, access limited to the people who need it, and reputable service providers with their own security programs. No website or storage system is completely secure, so we cannot guarantee absolute security. If you think your information has been put at risk, please contact us right away.
Your Choices and Rights
Wherever you live, you can:

Visitors from Outside the United States
Forward Deployed Hiring is based in the United States, and our service providers may process information in the United States and other countries. If you contact us from outside the US, your information will be transferred to and handled in the US, where data protection laws may differ from those where you live. Where the law requires, we rely on appropriate safeguards, such as our providers’ standard contractual clauses, for these transfers.
If you are in the European Economic Area, the United Kingdom or Switzerland, we process your information on these legal bases:
- legitimate interests: running a recruiting business, responding to inquiries, contacting candidates about relevant roles and improving the Site;
- contract: taking steps you ask for before entering into an agreement, and performing it;
- consent: for example, before sharing a candidate’s details with a Client, where you can withdraw consent at any time; and
- legal obligation: where we must keep or disclose information.

The Site and our services are for working professionals and businesses. They are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, please contact us and we will delete it.
Links to Other Websites
The Site may link to websites and tools run by others, such as a scheduling page or LinkedIn. Their privacy practices are their own, and we encourage you to read their policies.
Changes to This Policy
We may update this Privacy Policy as our services, tools or the law change. When we do, we will post the new version here and update the “Last updated” date above. If we make a significant change, we will make reasonable efforts to let you know, for example with a notice on the Site or by email.
